Simple PnL brings stock control, supplier ordering, recipe costing, and menu reporting into one place — built for bars and restaurants that want to know their real numbers, not guess at them.

Why I built this
I've spent over 15 years working in bars, running stock, chasing suppliers, and costing recipes — and in all that time, I never found a system that was quite right. Some were overcomplicated. Others were clearly built by people who'd never worked behind a bar, or hadn't in a long time, and it showed — especially with cocktail bars, where the details are different.
Simple PnL is built from that experience, for the people actually doing the job. It also has to be simple enough for staff to pick up without weeks of training or needing to understand everything running underneath. That's the whole idea behind the name.
Everything your bar needs to know its numbers
Stock that stays accurate
Track every product's stock level and par level in real time, with low-stock alerts and full stock take support across every venue — and waste logged by reason, so you know exactly what's being lost and why, not just that it's gone.
Recipe costing & GP, done properly
Cost every recipe and batch down to the ingredient, see gross profit per drink or dish instantly, and catch menu items quietly eating your margin. Test-cost a new drink or dish against a target GP% before it ever goes on the menu.
Know what's actually selling
Bring in your sales — by CSV today, straight from your till soon — and see real revenue and GP% per item against theoretical, with a menu engineering view that shows exactly which items are quietly making you money and which ones need to come off the menu.
Ordering that doesn't waste your time
Compare prices across every supplier that stocks a product while you build your order, then let it split itself into the right POs automatically. Deliveries pull straight into stock, with anything ordered but not delivered clearly flagged so you can follow up with the supplier, raise a credit request in a couple of clicks, or source it elsewhere.
Suppliers submit their own price updates
Give suppliers their own secure login to submit price changes for your review — no more chasing price lists over email.
Every venue, one account
Manage stock, ordering, and reporting across multiple venues and departments from a single company account, with staff permissions tailored to each role, and stock moved between venues in a couple of taps.
Reports that actually tell you something
Stock, procurement, waste, and menu performance reporting that shows exactly where money is being made or lost.
Catch a budget before it's blown
Set a monthly spend limit by category or venue — including staff costs, pulled straight in from Planday — and get a clear warning the moment you're approaching it, not a nasty surprise once the month's already closed.
Accept deliveries without the line-by-line
Scan a supplier's invoice and AI reads every line for you, matched against what you ordered — only the mismatches need your attention. Once accepted, it posts straight to Xero as a bill, ready for your bookkeeper to approve.
Cash up, and the paperwork does itself
Balance the till and it's automatically emailed to whoever needs to see it — and posted to Xero as a draft journal, ready for your bookkeeper to review. If something needs correcting after the fact, an admin can reopen it rather than starting over.
Don't see something you need above? Let us know — we'll get to work on it for you!
How it works
1
We set up your venues and stock
We add your venues, departments, and stock list for you — including bringing over anything you already track today, so there's nothing to rebuild from scratch.
2
We connect your suppliers and cost your recipes
As part of onboarding, we link your suppliers, bring in your existing price lists, and cost out your recipes — so everything's ready to go from day one.
3
See your real numbers, every day
Log in and check stock, margin, and performance whenever you need to — no spreadsheets, no guesswork.
